Nothing tells you what to reorder, how much, and when each item runs out.
For Xero users
A purchasing workbook for Xero
Xero knows what you sold and what is on hand for each tracked item. It does not tell you what to buy. Export two standard inventory reports and Purchase Planning in ChatGPT turns them into a reorder plan.
Where Xero stops
Reorder levels, where you keep them, are typed by hand and stay put when demand changes.
Working it out in a spreadsheet every week takes hours.
How it works
- 1
Create a free account
Sign up, pick Xero as your system, and add Purchase Planning in ChatGPT as the setup page shows. Claude setup is coming shortly.
- 2
Export two reports
- Inventory Item List: Accounting > Reports > Inventory Item List, set the date to today, Update, then Export > Excel.
- Inventory Item Details: Accounting > Reports > Inventory Item Details, date range from 3 years ago (at least 12 months) to today, every item selected, Update, then Export > Excel.
- Optional: Xero cannot export purchase orders, so type the open ones not yet billed into a sheet with PO Number, Supplier, Item Code, Quantity and Delivery Date.
- Keep the reports as Xero exports them, in Excel format; don't edit the columns. Only tracked items carry a quantity on hand.
- 3
Get the workbook
In ChatGPT, attach the files in the chat, ask what to reorder and download the workbook.
Good to know
- Free to start, and set up entirely by you: no call with us. Real data only; there is no sample mode.
- When you tell it to create a purchase order, Purchase Planning builds it with the items and quantities. It works from your exported reports, so it does not write to Xero itself: you enter it under Purchases > Purchase orders, or an assistant that can use your browser saves it there as a draft. Nothing is sent to your supplier.
- We keep a copy of your uploads for your company, holding only the report fields we recognize (customer columns are not kept). Workbooks are kept 7 days. Each company sees only its own uploads.
- Delete account on your account page removes your uploads and workbooks.
